We are going to release the Toggl Autopilot next week. It is an extension to the popular Toggl Desktop.

Essentially, the Autopilot is a helpful little fellow, whose mission is to help you track your time.  It will study your behaviour by memorizing the projects you are tracking and the applications that are in focus while tracking. After a short study period, it can give you suggestions on what project to track, based on the application currently in focus.

The Autopilot is most useful when you have a tendency to forget switching off the timer when finishing a task. It will also help you catch all the seconds when your work time is very fragmented across different projects.

The Autopilot is currently in the beta-testing stage. We’re releasing it with a separate beta version of Toggl Desktop.

It is available for Linux, Windows and Mac.

It will replace the Adobe AIR based widget. The technology that the new widget is built has better memory management and is more stable and faster to use.

The Linux installer is currently limited to Debian and Ubuntu. Other distributions will follow soon.

Today I’m writing to tell you a little bit about our Premium subscription – what it is and what benefits it offers. As you might have heard, we now have 4 different Premium plans in addition to the free plan. All the Premium plans have the same functionality. The only difference is in the team size. Check it out: Toggl subscription plans. (Hint: there is a 30-day free trial period)

Anyways, I’m going to tell you about that “something extra” that Premium provides.

Hourly billable rates

Hourly billable rates allow you to assign billable rates to your workspace, clients, projects or project team members. These hourly rates are bound to task durations and therefore allow you to see how much you earned with that particular task. That way you don’t have to take out you calculator and cruch numbers – Toggl will do it for you!

Let me show you:

On this next image you can see your workspace settings. There are two fields that define the billable rates for the whole workspace.

On this next picture you’ll see your client’s settings. You can keep the workspace default rates…

…or define client-specific hourly billable rates by clicking on “Set custom rate”. The same can be done in the list of clients – use workspace default or specify:

The next level is project level. It is possible to enter project-specific billable rate, if it differs from workspace or client rate:

You can also set different rates for team members:

The usefulness of hourly billable rates is apparent when you run reports. See it yourself (click for a larger image):

Time rounding in reports

Premium subscription gives you the possibility to round task times up in your reports. For example: if your task duration is 38 minutes and you select the 15-minute rounding option, you’ll get a 45 minute task. When adding up the durations of several tasks, as in the weekly report, the duration of each task is rounded up separately. Possible rounding ranges are: 1, 5, 6, 10, 12, 15, 30 and 60 minutes. You can also disable this functionality. A screenshot:

Your custom logo

Thanks to the Premium subscription you will be able to personalize your workspace by uploading you own custom logo. It will replace the Toggl logo on the upper-left side of the Toggl main view. Like this:

And of course, your logo is shown in the PDF reports, like I mentioned earlier.

We answer to all of our users (subscription plan doesn’t matter) feedback. In case you haven’t received an answer from us in a week, it may be due to technical issues. Please try again! Even so, like the title says, our Premium members’ feedback is read and answered first.

Conclusion

As you see, the Premium functionality can be really useful. We have a lot of new functionality in the works, both for free and Premium plans, to make it more attractive and beneficial for our users.

What do you mean by “learn”?

It works like this:

1. Toggl Desktop memorizes the titles of the windows you use and connects these words in the title with the projects you track.

2. After a short learning period it can give you suggestions on the project to track.

Can you give me an example?

Of course! For example, if you are tracking a task in project A and open a window that you used when tracking a different project, let’s say B, then Toggl Desktop will show you a little popup suggesting you to track project B. You can ignore the popup or agree with the suggestion and Toggl Desktop will automatically start tracking on project B.

How can I try it?

If you noticed, then you see the new autopilot bar at the bottom of Toggl Desktop main window:

It is turned off by default so you have to turn it on by clicking on the black triangle or the text “Autopilot off” itself.

After turning it on, it starts memorizing the titles of the windows you use when working on your project. You will also see study progress while Toggl Desktop is learning.

After some time, when enough information has been gathered, Toggl Desktop can start suggesting which project to track. If you see this “Studying complete” status message, then you know that Toggl Desktop is ready to start helping you.

So, how does Toggl Desktop contribute to my projecttracking?

If Toggl Desktop thinks (based on the information memorized) that you should be tracking a different project from the current project, then a small popup window emerges. It asks if you want to start tracking the project it suggests. If you ignore the window, it will go away automatically after a few seconds but if you click “Yes” then Toggl Desktop will start tracking the project suggested.

As you see in the picture, Toggl Desktop is offering you to start tracking an existing task:

If you have not tracked a task under this project in the current session then Toggl Desktop will suggest you to start a new task:

I don’t want to use this new feature, how can I make it disappear?

Of course, if you are not interested in this feature then simply turn it off if it is on (default is off) and you can hide the autopilot bar from the settings:

Can anybody see the memorized data?

If you are worried about your privacy then don’t be because no information that is collected will be sent to our server or anywhere for that matter. All the data will stay in your computer under your user account.

• Easier handling of recurring tasksToggl Timer remembers the tasks you worked on during the last seven days and shows you these names as quick links to start tracking time on the task. The task will automatically track time with the current date.
